Terms of service
Last updated: October 29, 2026
These terms govern the use of sentracaptions.com and the SentraCaptions service, provided by Computer Systems Plus, Inc. ("CSP", "we"). If your organization has a signed agreement or order with us, that agreement controls where it differs from these terms.
1. The service
SentraCaptions provides live captions and translated text for meetings: it receives a meeting's audio from the customer's encoder, converts speech to text, translates it into the languages the customer chooses, and delivers captions to screens, phones, websites, livestreams, other platforms and transcript files. We may improve and change the service over time; we won't materially reduce its core functions during a paid term without notice.
2. Accounts, keys and access
- Customers receive API keys, stream keys and view tokens. Keep API keys and stream keys confidential and on your servers or encoders; never put an API key in a web page or app. View tokens may be shared with the screens and residents who need to read captions.
- Tell us promptly if you believe a key has been exposed. We can revoke and replace keys at any time.
- You are responsible for activity under your keys until you report them compromised.
3. Customer responsibilities
- Public content only. Send only meetings, or portions of meetings, that are open to the public. Pause or stop captioning for closed session and anything else that must not be captioned.
- Audio and connectivity. Provide the encoder, audio feed and internet connection; caption quality depends on audio quality.
- Review where it matters. Captions and translations are produced automatically and may contain errors. Review transcripts before using them as part of an official record; minutes remain the clerk's record.
- Accommodations. SentraCaptions supports accessibility and language access, but doesn't by itself make an agency compliant with the ADA, Section 508, SB 707 or other laws. Agencies remain responsible for accommodation requests, such as human captioning (CART) or interpreters.
- Third-party services. When you connect YouTube, Zoom, CivicCA or another platform, your use of it is governed by your agreement with that provider.
4. Acceptable use
Don't use the service to violate the law or anyone's rights; to caption content you're not permitted to; to interfere with or overload the service; to probe, scan or test its security without our written permission; or to resell it except under an agreement with us.
5. Fees
Fees, minutes and payment terms are set in your quote, order or agreement. Customers may buy minutes as needed or prepay. Minutes are counted while captioning is running; time paused isn't counted. There are no per-viewer fees.
6. Your data
- Customers own their meeting content, captions and transcripts. We use them only to provide, secure and support the service for you, as described in our Privacy policy.
- Captions are deleted 90 days after they're produced. Download transcripts you need to keep (the end-of-meeting webhook includes links). On request, we'll delete a customer's captions sooner.
- We may use aggregated usage information that doesn't identify you or your residents to operate and improve the service.
7. Security, availability and support
We protect the service and your data with the measures described on our Security page, including our availability target, support hours and response times. Service credits or other remedies, if any, are set in your agreement.
8. Intellectual property
CSP owns the service, software, documentation and the SentraCaptions name. You may use the service, and the documentation and JavaScript library we provide, to integrate with and operate the service during your subscription. Feedback you give us may be used to improve the service without obligation.
9. Confidentiality and public records
Each party will protect the other's non-public information with reasonable care and use it only for this relationship. We understand that public agencies are subject to public records laws, and nothing in these terms prevents an agency from complying with them.
10. Term, suspension and termination
Your subscription runs for the term in your agreement. We may suspend access to protect the service or others (for example, a compromised key or abusive traffic), and will tell you promptly and restore access once resolved. Either party may end the relationship as your agreement allows; on termination, you can download transcripts for 30 days, after which captions are deleted on the normal schedule.
11. Warranties and disclaimers
We will provide the service in a professional manner, substantially as described in our documentation. Apart from that, and to the extent the law allows, the service is provided "as is." Automatic captions and translations are not guaranteed to be complete or error-free, and we don't warrant that use of the service satisfies any particular legal requirement.
12. Limitation of liability
To the extent the law allows, neither party is liable for indirect, incidental, special or consequential damages, or lost profits, and each party's total liability arising from the service is limited to the fees paid for the service in the 12 months before the claim. These limits don't apply to a party's breach of confidentiality, infringement of the other's intellectual property, or liability that can't be limited by law.
13. Using this website
You may use sentracaptions.com for information about SentraCaptions. The content is provided for general information and isn't legal advice; check with your counsel about how laws apply to your agency.
14. Governing law
These terms are governed by the laws of the State of California. Disputes will be heard in the state or federal courts serving Fresno County, California, unless your agreement provides otherwise.
15. Changes
We may update these terms. We'll post the new version here with its date and, for material changes, notify customers at least 30 days in advance.
